Data Entry Conventions
Location Types (which apply to phone numbers, street addresses and email addresses)
- Home – only to be used on Individuals and Households. An organisation should never have any Home entries (phone number, email address or street address).
- Work – mainly for Organisations, but can be used for an employee at an organisation for (say) an in-dial phone number.
- Other – only to be used when the Home or Work are not adequate to express the information.
- Billing – This is mainly used in CiviMembership.
Note that Main should no longer be used and, by the end of Nov-2019, all values in Main will be migrated over to Work or Home.
Phone Types (naturally these apply only to phone numbers)
- Landline – should not contain mobile numbers.
- Mobile – only for mobile numbers.
- Fax – only for fax numbers (of which there are only about 150 in the database).
As at the end of Nov-2019, mobile numbers in Landline were migrated over to Mobile, and landline numbers in Mobile were migrated over to Landline. This was a once-off activity and, over time, landlines may be entered as mobiles and vice versa.
Phone Number Conventions:
- Australian mobiles: 04xx xxx xxx or 05xx xxx xxx – for example, “0419 123 456”.
- Australian non-mobiles: xx xxxx xxxx (where the first two digits are not “04” or “05”) – for example, “03 1234 5678”.
- International: any text although it usually starts with “+” – for example, “+1 703 1234 5678”.
- Multiple phone numbers in the one field: use the conventions above and separate phone numbers with “;“.
- Descriptive text may be include after a phone number – for example, “03 1234 5678 (only 9am to 5pm)”.
