To import a media list, read the Importing Two Contacts and a Relationship (including a Description) article in this Knowledge Base and specialise it with the following:

  1. In general, media lists have been provided in an Excel workbook in a form that is useable by people, but not ready for importation into CiviCRM.
  2. In our particular case (in Dec-2018), that Excel workbook has already been broken into one workbook per original sheet and these can be found at M:/ Master Data⁩ ▸ ⁨OPERATIONS⁩ ▸ ⁨Knowledge Management⁩ ▸ ⁨Knowledge Management Project⁩ ▸ Media Lists and Other Lists
  3. We need to put the Media Contact tag on both the Individuals and the related Organisations
  4. We don’t need a separate tag for individuals and organisations as:
    1. To find all media organisations then select the Media Contact tag and Contact Type of Organisation, and
    2. To find all individuals who are contacts at media organisations then select the Media Contact tag and Contact Type of Individual
  5. Sequencing:
    1. Use the previously created Import Mappings starting with “Media” for the importations.
    2. Our first import will be Organisations.
    3. Our second import will be Individuals and the creation of the Employee relationship back to the Organisation (minus the Relationship Description, the role of the person at the organisation, which cannot be imported at this time.
    4. Then there is an export from the Report called Employee Relationships including Relationship ID to support imports that will provide the Relationship IDs of the newly imported relationships.
    5. These three files are then fed into the “Relationships Generator.xlsm” Excel workbook to create a fourth file that is then imported via the API csv Import function.
  6. The string in our <unique name for this importation> will be “Media” and we will use this later if we wish to alter tagging or grouping after the imports.

Now do the following:

  1. Create a folder in the Being Uploaded folder of the same name as the file that you are choosing to import.
  2. Move the chosen workbook into the folder that you just created.
  3. Create a text file with your name in the newly created folder to indicate that you are doing this particular import.
  4. Carry out the procedure in Importing Two Contacts and a Relationship (including a Description), using the notes 3, 4, 5 and 6 above to specialise it.
  5. After the importation is complete move the group of files to the Uploaded folder.
